Stop Losing Good Leads Just Because You Couldn't Answer Fast Enough
Stop Losing Good Leads Just Because You Couldn't Answer Fast Enough
Let me guess.
You're working, dealing with a customer, driving, in a meeting or just trying to get through everything already on your plate.
Someone calls.
You miss it.
Or they send you a message and you see it a couple of hours later.
You reply when you finally get a chance...
Nothing.
Now you're wondering if they were ever serious in the first place.
Here's the thing.
They might have been very serious.
They just didn't wait for you.
THE CUSTOMER DOESN'T KNOW YOU'RE BUSY
This is something I think business owners sometimes forget.
You know why you couldn't answer.
The customer doesn't.
From their side, they needed something and reached out to a business that could potentially help them.
If they don't hear back, they're probably going to keep looking.
And I can't really blame them.
Think about how you behave when you're looking for something yourself.
You Google it.
You check a few businesses.
You send a couple of messages.
Whoever makes the process easiest usually has a pretty good chance of getting your business.
Your customers aren't much different.
SO DO YOU NEED MORE LEADS?
Maybe.
But before you spend more money getting them, I'd look at something else first.
What happens to the leads you're already getting?
Seriously.
If somebody contacts your business tonight at 8:47 PM, what happens?
If you're asleep, what happens?
If you're with another customer, what happens?
If someone fills out the form on your website and doesn't immediately book, who follows up?
If your answer to most of those questions is "me", we've probably found part of the problem.
You don't necessarily have a lead problem.
You may have a lead-handling problem.
AND THAT'S WHAT I WOULD FIX FIRST
This is where an automated booking system can make a real difference.
Imagine someone visits your website and sends an enquiry while you're busy.
Instead of waiting until you see it, the system responds.
It can collect their information, find out what they're interested in and help move them toward the next step.
If that next step is an appointment, they can be directed to your calendar.
If they don't book immediately, that doesn't have to be the end of the conversation either.
Your follow-up system can continue working in the background.
Now you're not trying to remember who messaged you Monday, who asked for information Tuesday and who said, "I'll get back to you."
The system keeps track of it.
YOU DON'T HAVE TO REMOVE THE HUMAN PART
And this is important.
I'm not telling you to let automation take over every conversation in your business.
I wouldn't recommend that.
There are conversations where your customer needs you.
There are questions that require your experience.
There are situations where somebody simply wants to speak to a real person.
That's fine.
The point is to stop using your time for things a system can handle perfectly well.
Acknowledging an enquiry.
Collecting basic information.
Answering common questions.
Sending a booking link.
Following up.
Sending appointment confirmations.
Sending reminders.
Let the system handle that.
Then you can step into the conversation when you're actually needed.
THINK ABOUT YOUR LAST FIVE ENQUIRIES
Here's something I want you to do.
Think about the last five people who contacted your business.
How quickly did you respond to each one?
Did all five get followed up with?
Do you know where each of those leads is right now?
Did any of them say they would get back to you?
Did you follow up after that?
If you're sitting there trying to remember, that's exactly my point.
You shouldn't have to remember.
YOUR WEBSITE SHOULD HELP WITH THIS TOO
This is another reason I don't like treating a business website as an online brochure.
Your website should be doing something.
If someone lands on it at 11 PM and they're interested in your service, there should be a clear way for that person to take the next step.
And once they do, the process shouldn't stop because you've gone to bed.
Your website, CRM, customer response, follow-up and calendar should be connected.
That's when you start building an actual customer journey instead of hoping somebody contacts you at the right time.
YOU DON'T NEED TO BE AVAILABLE 24/7
Your business does.
There's a difference.
I'm not telling you to sit beside your phone all night answering messages.
I'm telling you to build a system so you don't have to.
Because if you've already done the hard part and got someone interested enough to contact you, losing that person because you were busy is painful.
Especially when it's fixable.
That's what we built the BajanLinks246 Booking System to solve.
It connects your website, lead capture, customer response, CRM, follow-up and appointment booking so a good enquiry doesn't depend entirely on whether you happen to be holding your phone when it arrives.
If you've been getting enquiries but you're not completely confident about what happens to them afterward, that's where I'd start.
Take a look at the Booking System and see how the complete process works for your business.
